These Terms and Conditions ("Terms") are a binding legal agreement between you and Codematics Services (Private) Limited ("Codematics," "we," "us"), the developer of AI Expense Notebook.

By downloading, installing, or opening AI Expense Notebook on any device — whether from the Apple App Store, Google Play Store, or any other authorized channel — you confirm that you have read, understood, and agreed to these Terms and our Privacy Policy.

These Terms also apply to your use of the website at expensenotebook.codematics.co and its blog at expensenotebook.codematics.co/blog.

AI Expense Notebook is a personal finance management application. Its specific features include:

• AI Magic Scan — point your camera at any physical or digital receipt and the app automatically extracts the amount, date, merchant name, and suggested category using AI, with approximately 99.2% accuracy under standard conditions
• Expense and Income Tracking — add expense and income records manually or via scan, organized by date, amount, and category
• Budget Management — set spending limits per category or overall, with real-time tracking and alerts as you approach those limits
• Auto Categorization — the app suggests categories (Food, Bills, Travel, Shopping, Health, etc.) based on data extracted from receipts
• Spending Reports and Insights — visual breakdowns of spending by category and time period, compared against your budget
• Multi-Currency Support — record and track expenses in different currencies, suited to travelers and international users

The app is currently free. We reserve the right to introduce optional paid features in the future, which will always be clearly communicated in advance.

To use AI Expense Notebook, you must:

• Be at least 13 years of age — or at least 16 years of age if you are located in the European Economic Area, in line with GDPR Article 8
• Have the legal capacity to enter into a binding agreement in your jurisdiction
• Not be prohibited from using the app under the laws of your country or region

If you use the app on behalf of an organization, you represent that you have the authority to bind that organization to these Terms.

AI Expense Notebook is provided for lawful, personal finance management. You may not use the app to:

• Record, store, or process financial data belonging to others without their explicit consent
• Use AI Magic Scan to process documents other than receipts or invoices you are personally recording (e.g. identity documents, contracts, confidential records)
• Attempt to reverse-engineer, decompile, or extract source code from any part of the app
• Attempt to gain unauthorized access to our servers, infrastructure, or other users' data
• Introduce malware, viruses, or any code designed to disrupt or damage the app or its systems
• Scrape, reproduce, or commercialize any part of the app's content, AI output, or features without written permission from Codematics
• Use the app in a way that violates any applicable local, national, or international law or regulation

Violations of acceptable use may result in immediate account suspension and, where applicable, legal action.

AI Magic Scan uses machine learning to read and extract data from receipt images. While we achieve approximately 99.2% accuracy under standard conditions, you should be aware of the following limitations:

• Lighting and image quality: Blurry, dark, or overexposed receipt images may reduce extraction accuracy
• Handwritten receipts: Handwritten or non-standard receipt formats may not be read correctly
• Damaged receipts: Torn, faded, or partially obscured receipts may return incomplete data
• Multi-item receipts: For receipts with many line items, the app extracts the total amount — not individual line items — unless specifically designed otherwise
• Currency detection: In rare cases, currency symbols may be misread on foreign receipts

Always review the pre-filled data before saving an entry. Codematics is not liable for financial record errors resulting from unreviewed AI-extracted data that the user accepted without verification.

AI Expense Notebook is a personal expense tracking tool. It is not a financial advisory service, accounting service, tax preparation tool, or investment platform.

• Spending insights, budget reports, and category breakdowns generated by the app are for your personal information only — they do not constitute financial, tax, or legal advice
• Do not use app-generated data as the sole basis for tax filings, loan applications, or other formal financial documents without independent verification
• Always consult a qualified financial advisor, accountant, or tax professional for formal financial decisions
• Codematics is not responsible for any financial decisions, losses, or liabilities arising from your use of or reliance on the app's reports and insights

All content, software, features, and functionality of AI Expense Notebook — including the app's code, design, graphics, logos, AI models, and written content — are the exclusive property of Codematics Services (Private) Limited and are protected by applicable intellectual property laws.

You are granted a limited, non-exclusive, non-transferable, revocable license to use the app on your personal device for personal, non-commercial expense management, in accordance with these Terms.

This license does not grant you the right to copy, modify, distribute, sell, sublicense, or create derivative works based on the app or any of its components.

You retain full ownership of all financial data, expense entries, and content you input into AI Expense Notebook. It is your data.

By using the Service, you grant Codematics a limited, non-exclusive license to store, process, and display your data solely to deliver the app's features to you and for no other purpose.

You are responsible for the accuracy of the data you enter. Codematics is not liable for financial record errors resulting from data you input or confirm incorrectly.

To the fullest extent permitted by applicable law, AI Expense Notebook is provided on an "as is" and "as available" basis. Codematics makes no warranties, express or implied, including but not limited to:

• That the app will be uninterrupted, error-free, or completely secure at all times
• That AI Magic Scan will extract data with perfect accuracy in every case
• That the app is fit for any specific purpose beyond personal expense tracking
• That all defects will be corrected within any specific timeframe

Nothing in this section limits rights you may have under mandatory consumer protection laws in your jurisdiction, including EU consumer protection law or the UK Consumer Rights Act 2015.

To the maximum extent permitted by applicable law, Codematics Services (Private) Limited and its officers, employees, and agents shall not be liable for:

• Any indirect, incidental, special, consequential, or punitive damages arising from your use of the app
• Loss of financial data, savings records, or budgets due to device failure, app errors, or account deletion
• Errors in expense records resulting from unreviewed AI-extracted data
• Financial decisions made based on reports or insights generated by the app
• Any damages exceeding the amount you paid for the Service in the preceding 12 months

Nothing in these Terms excludes liability that cannot be excluded under mandatory law in your jurisdiction, including liability for fraud, death or personal injury caused by negligence, or rights under EU Directive 2019/770 (Digital Content Directive) or equivalent UK law.

AI Expense Notebook is distributed through the Apple App Store and Google Play Store. Your use of those platforms is subject to their respective terms of service:

Codematics has no control over and assumes no responsibility for the policies, content, or practices of these third-party platforms. In the event of a conflict between these Terms and the App Store or Play Store terms regarding the app itself, these Terms govern to the extent permitted by those platforms.

You may stop using the app and delete your account at any time. Upon account deletion, your right to use the Service ceases and your personal data is deleted in accordance with our Privacy Policy.

We reserve the right to suspend or terminate your access to the Service at our discretion, without prior notice, if we believe you have violated these Terms, engaged in fraudulent activity, or caused harm to other users or the platform.

Sections that by their nature survive termination — including Intellectual Property, Disclaimer of Warranties, Limitation of Liability, Financial Disclaimer, and Governing Law — continue to apply after termination.

For users in the European Union: Nothing in these Terms overrides your rights as a consumer under EU law, including your right to bring proceedings before the courts of your own EU member state or to seek redress through the EU Online Dispute Resolution (ODR) platform at ec.europa.eu/consumers/odr.

For users in the United Kingdom: Nothing in these Terms excludes rights available to you under UK consumer protection law, including the Consumer Rights Act 2015.

We may update these Terms as the app evolves or legal requirements change. When we make a material change:

• We update the "Last Updated" date at the top of this page
• We notify users via in-app notification or email for significant changes
• Where required by law, we seek renewed agreement before changes take effect

Continued use of AI Expense Notebook after revised Terms become effective constitutes your acceptance. If you do not agree with revised Terms, please stop using the app and request account deletion.
